Equipment Assignment

Equipment assignment tracks which pieces of equipment are allocated to specific projects, assigned to employees, or stationed at particular locations. This visibility prevents double-booking, helps with resource planning, and maintains accountability for equipment care and usage.

Assignment Types

DrillerDB supports several assignment methods:

Project Assignment: Allocate equipment to specific drilling projects or jobs. This tracks which assets are deployed to each work site and prevents scheduling conflicts when the same equipment is needed elsewhere.

Employee Assignment: Assign equipment to individual employees for their exclusive use. This creates accountability for equipment condition and simplifies tracking who has what equipment at any given time.

Location Assignment: Designate equipment as stationed at particular yards, shops, or storage facilities. This helps crews find equipment and ensures assets are distributed appropriately across your operation.

Creating Assignments

Assign equipment from multiple locations in the system:

From Equipment Details: Open any equipment record and use the assignment controls to designate current project, employee, or location.

From Project View: When planning a project, select required equipment from the available inventory. The system shows which equipment is currently available versus already assigned elsewhere.

From Schedule: The scheduling interface allows drag-and-drop equipment assignment to projects, automatically checking availability and warning about conflicts.

Assignment Information

Each assignment includes:

Start Date: When the equipment was assigned or deployed. This establishes the beginning of the assignment period for utilization tracking.

End Date: When the equipment is expected to return or be released. For project assignments, this typically aligns with the project end date.

Notes: Optional information about the assignment, such as specific configuration, special responsibilities, or return instructions.

Responsible Party: Who is accountable for the equipment during the assignment period. This person receives notifications about maintenance due and is expected to report any issues or damage.

Availability Management

Equipment availability depends on current assignments:

Available: Not currently assigned to a project or employee, located at home base, and ready for use. These assets appear in availability searches for new assignments.

In Use: Currently assigned and deployed. The system shows where and when the equipment is assigned, helping you plan around these commitments.

Maintenance: Temporarily unavailable due to scheduled maintenance or repairs. This prevents the equipment from being assigned until service is completed and status is updated.

Reserved: Scheduled for future assignment. This allows advance planning while preventing the equipment from being assigned to conflicting projects.

Assignment Conflicts

The system warns about potential conflicts:

Double Booking: Attempting to assign equipment already committed to another project during overlapping dates generates a conflict warning. You can override if necessary, but the conflict is flagged for resolution.

Maintenance Conflicts: Assigning equipment during scheduled maintenance windows triggers a warning. You may need to reschedule maintenance or use alternative equipment.

Location Conflicts: When equipment must be deployed far from its current location, the system notes travel time requirements or potential delays.

Assignment History

View complete assignment history for each piece of equipment:

  • All past projects and assignments
  • Duration of each deployment
  • Utilization patterns over time
  • Responsible parties during each period

This history helps identify frequently used equipment that may need replacement or backup units, and underutilized assets that could be sold or deployed differently.

Tracking Returns

When equipment returns from assignment:

Inspect and Document: Check equipment condition and record any damage or issues discovered. This establishes accountability and triggers any necessary repairs.

Update Status: Mark the equipment as returned and available. This makes it visible for new assignments.

Complete Assignment: Close out the assignment record with actual return date and any relevant notes about the deployment.

Utilization Reporting

Assignment data enables utilization analysis:

  • Percentage of time equipment is actively assigned versus idle
  • Project assignments per month or year
  • Comparison of utilization across similar equipment
  • Identification of underutilized assets

High utilization may justify expanding your fleet, while low utilization indicates opportunities to reduce equipment costs.
