Project Statuses
Every project in DrillerDB follows a standard lifecycle with distinct statuses that track progress from initial quote through completion. Understanding these statuses helps you manage your workflow and keep projects organized.
The Project Workflow
DrillerDB uses a visual workflow that shows where each project stands in the lifecycle. The standard progression follows these stages:
Proposal
This is the starting status for all new projects. A proposal represents a quote you're preparing or have sent to a customer for approval. Projects stay in proposal status until the customer accepts the work or you're ready to begin drilling.
While in proposal status, you can freely edit pricing, line items, and project details. The proposal can be sent to customers via email or customer portal for review and approval. If a proposal sits for an extended period without customer response, DrillerDB will prompt you to follow up.
Open Job
When a proposal is accepted or you're ready to begin work, move the project to open job status. This indicates active drilling work that needs to be scheduled and completed. Open jobs appear prominently in your scheduling system and field reporting tools.
Projects in open job status typically have priority assignments, scheduled field technicians, and active tracking of drilling progress. Your field crews can submit daily reports, pump logs, and well completion records against open jobs.
Complete
Mark a project as complete when drilling work is finished and the well is operational. Complete status indicates that field work is done and the project is ready for final invoicing and closeout.
Completed projects automatically show sample information and completion dates. The system tracks when drilling finished and makes this information available for DNR reporting and customer records. You can still edit project details and add final documentation in complete status.
Closed
Closed status represents archived projects where all work is finished, invoices are paid, and no further action is needed. Closing a project removes it from active views but preserves all records for future reference.
Only administrators can typically close projects to prevent accidental archiving. Closed projects remain searchable and can be reopened if additional work is needed.
Changing Project Status
You can advance a project through the workflow by clicking on the status steps in the project detail page. The visual workflow shows completed stages with checkmarks and allows you to click forward to the next appropriate status.
DrillerDB prevents skipping stages inappropriately. For example, you can't jump directly from proposal to closed without progressing through open job and complete first. This ensures proper tracking of all project phases.
Special Statuses
In addition to the standard workflow, some projects may have special statuses:
Work Order: Used for service calls or non-standard projects that don't follow the typical drilling workflow. Work orders can be managed separately from standard proposals.
Priority Levels: Open jobs can be assigned priority levels (high, medium, low) to help with scheduling decisions. High priority jobs appear first in field crew assignments and scheduling views.
The status system helps your entire team understand project state at a glance and ensures consistent handling of work from quote to completion.
