Sending Proposals to Customers
Once you've built your proposal with line items and pricing, it's time to send it to your customer for review and approval. DrillerDB makes this process simple and trackable.
Email Delivery
Click the "Send Proposal" button in the proposal builder to open the email dialog. The system automatically pulls the customer's email address from the project record.
You can customize the email message before sending. Default message templates are available, or you can write a personalized message for each proposal. The message appears at the top of the proposal when the customer views it.
Preview Before Sending
Always preview your proposal before hitting send. The preview shows exactly what your customer will see, including your company branding, line items, totals, and payment options.
This final check ensures all details are correct and professional before the proposal reaches your customer.
Tracking Engagement
DrillerDB tracks proposal engagement automatically. You'll know when customers:
- Open the proposal: Receive notification when the email is opened
- View the proposal: See when customers access the proposal link
- Click links: Track interaction with your proposal content
This engagement tracking helps you follow up at the right time and understand customer interest levels.
Resending Proposals
Need to send a reminder? Click the "Resend Proposal" button to send the proposal link again. This is useful when customers haven't responded or need the link forwarded to additional decision-makers.
Each resend is tracked separately, so you maintain a complete history of proposal communications.
Email Templates
Save time with customizable email templates. Set default messages for proposals that automatically populate when you send. You can still edit messages on a per-proposal basis while maintaining consistency across your communications.
Templates include your company branding, professional language, and clear calls-to-action that guide customers toward approval.
Customer Portal Access
When customers receive the proposal email, they get a secure link to view the proposal in the customer portal. No login required—the unique link provides direct access to their specific proposal.
The portal displays your proposal in a clean, mobile-friendly format that looks professional on any device.
Managing Sent Proposals
Track all sent proposals from the project detail page. See the send date, customer email, and current status (pending, viewed, approved) at a glance.
This visibility helps you manage follow-ups and prioritize customer communications effectively.
