Creating Projects

This guide walks you through creating a new project in DrillerDB, from selecting a customer to entering well details and preparing your proposal.

Quick Start: Create a Project in 5 Steps

  1. Click New Project from the Projects page
  2. Select or create a customer
  3. Enter the job location
  4. Add well specifications
  5. Save and add line items

Step-by-Step Guide

Step 1: Start a New Project

  1. Navigate to Projects in the sidebar
  2. Click the New Project button (top right)
  3. DrillerDB automatically assigns the next project ID

You can also create a project from the Rolodex by clicking New Project on any customer's profile.

Step 2: Select the Customer

For Existing Customers:

  1. Start typing the customer name in the search field
  2. Select from the dropdown results
  3. Customer details auto-fill (address, phone, email)

For New Customers:

  1. Click Add New Customer
  2. Enter customer information:
    • Name (business or individual)
    • Phone number
    • Email address
    • Billing address
  3. Save the new customer record

Step 3: Enter Location Details

The job site location is critical for field operations and permits:

Adding GPS Coordinates:

  1. Click Get GPS to auto-detect from address
  2. Or manually enter latitude/longitude
  3. Coordinates display on the job map

Step 4: Specify Well Details

Enter well specifications for accurate quoting:

Well Type - Select from:

  • Residential (domestic use)
  • Commercial (business use)
  • Irrigation / High Capacity
  • Monitoring / Test
  • Geothermal
  • Other

Drilling Information:

  • Estimated depth (feet)
  • Casing diameter (inches)
  • Drilling method (rotary, cable tool, etc.)
  • Screen type if applicable

Site Conditions:

  • Access notes for field crews
  • Special requirements
  • Known obstacles

Step 5: Save Your Project

  1. Review all entered information
  2. Click Save Project
  3. Project status is set to "Proposal"
  4. You're taken to the project detail view

Adding Line Items

After saving, add pricing line items:

  1. Click Add Line Item or Quick Add
  2. Select from your saved line items:
    • Drilling per foot
    • Casing per foot
    • Setup/mobilization fee
    • Permits
    • Pump installation
  3. Enter quantities and adjust pricing
  4. Add custom items as needed

Using Default Pricing:

DrillerDB auto-populates common line items from your defaults. To set up defaults:

  1. Go to Settings > Project Settings
  2. Configure default line items and prices
  3. New projects inherit these values

Project Status Flow

New projects start as proposals and move through stages:

Proposal → Open Job → Completed → Closed
  • Proposal: Quote ready for customer approval
  • Open Job: Approved and scheduled for drilling
  • Completed: Drilling finished, ready for invoicing
  • Closed: Final invoice sent, project archived

Common Tasks After Creating

Send the Proposal

  1. Click Send Proposal from the project view
  2. Enter customer email
  3. Add a personal message (optional)
  4. Click Send

Schedule the Job

  1. Click Schedule in the project header
  2. Select dates and assign crew
  3. Add equipment if needed
  4. Save to calendar

Upload Documents

  1. Go to Files tab on project
  2. Click Upload
  3. Add permits, photos, well logs
  4. Files are accessible to your team

Tips for Efficient Project Creation

Use Templates: If you drill similar wells often, create a project and use it as a template for faster setup.

Keyboard Notes:

  • Use Tab to move between fields quickly
  • Use on-screen save controls to confirm data is stored

Batch Import: For multiple projects, use Import Projects to upload from CSV or bulk import from PDFs.

Troubleshooting

Can't find customer?

  • Check spelling and try partial name search
  • Customer may be in a different company (multi-tenant)
  • Create new customer if not found

Project ID already exists?

  • DrillerDB prevents duplicate IDs
  • System auto-increments to next available
  • Contact support if ID sequencing issues occur

Location not validating?

  • Verify address format
  • Try without unit/suite numbers
  • Enter coordinates manually if address lookup fails
