Exporting project data to QuickBooks Online

QuickBooks Export

DrillerDB integrates with QuickBooks Online to streamline your accounting workflow and eliminate duplicate data entry between systems.

QuickBooks Integration Setup

Before exporting data, connect DrillerDB to your QuickBooks Online account. Navigate to Settings > Accounting and click "Connect to QuickBooks". Follow the OAuth authorization flow to grant DrillerDB access to your QuickBooks data.

The connection uses secure OAuth2 authentication. DrillerDB never stores your QuickBooks password. You can revoke access at any time through your QuickBooks account settings.

Project Export to QuickBooks

Export individual projects or batches of projects to QuickBooks from the Reports section. Select "QuickBooks Export" from the report menu to access export options.

Customer Synchronization - DrillerDB automatically syncs customer records to QuickBooks before exporting projects. If a customer doesn't exist in QuickBooks, the system creates a new customer record with contact information from your DrillerDB rolodex.

Invoice Creation - Projects export as invoices in QuickBooks. The invoice includes line items for all billable work, materials, and charges detailed in your DrillerDB project.

Line Item Mapping - Each charge type in DrillerDB maps to corresponding products/services in QuickBooks. Materials, labor, equipment, and miscellaneous charges export as separate line items with quantities and rates.

Invoice Numbering - QuickBooks invoices use your DrillerDB project number plus an invoice suffix (e.g., "12345-INV-001"). This maintains clear traceability between systems.

Export Options

Single Project Export - Export one project at a time from the project detail view. Click the QuickBooks icon in the project toolbar and select "Export to QuickBooks".

Batch Export - Export multiple projects simultaneously from the reports interface. Filter projects by date range, status, or customer, then select projects to export.

Update Existing Invoices - If you've previously exported a project and subsequently updated charges or details, re-export to update the QuickBooks invoice. The system matches existing invoices and applies changes.

Payment Synchronization

When you record payments in DrillerDB, optionally sync them to QuickBooks to keep accounts receivable in sync. The payment sync creates payment records in QuickBooks linked to the corresponding invoice.

Troubleshooting Export Issues

Customer Mapping Errors - If customer information conflicts between systems, the export may fail. Verify customer names and email addresses match exactly in both platforms.

Product/Service Mapping - Ensure products and services referenced in your DrillerDB project exist in your QuickBooks item list. Create missing items in QuickBooks before exporting.

Connection Timeouts - QuickBooks connection tokens expire periodically. If exports fail, reconnect to QuickBooks through Settings > Accounting.

The export creates an audit log showing successful exports and any errors encountered. Review the log to diagnose and resolve export issues.
