Time-Off Approvals
Use the Time Off tab in Timecards to see balances, submit requests and approve or deny them. Anyone can open it. Only timecard managers see everyone's requests and the Approve and Deny buttons.
Quick Start: Approve Time Off
- Open Timecards > Time Off.
- Select the Pending filter above the list.
- Read the request: employee, dates, hours requested and notes.
- Select Approve, or Deny.
- A denial opens Deny Time-Off Request. Add a reason if you want one (up to 500 characters) and confirm. The requester sees the reason in their time-off history.
A reviewed request stays in the list and its status changes in place.
What the Page Shows
| Area | Purpose |
|---|---|
| Balance cards | One card per policy (for example PTO / Vacation or Sick): hours available, hours used and hours pending |
| Status filters | All, Pending, Approved and Denied |
| Employee filter | Timecard managers only: All employees or one person, including people who have since been suspended |
| Team Time Off | Timecard managers only: a month calendar of approved and pending requests with previous and next month arrows. Select a day to see who is off |
| Request list | Each request with its status, policy, dates, hours requested and notes. A denied request shows Denied: and the reason |
Step-by-Step: Request Time Off
- Select Request Time Off (top right).
- In New Time Off Request, choose the Employee (managers can pick Myself or someone else).
- Choose the type. Policy types show their yearly hours, for example PTO / Vacation (80h/yr). Unpaid and Other need no policy.
- Enter Start Date, End Date, Hours and Notes.
- Select Submit Request.
A pending request can be cancelled with Cancel by the person who made it or by a manager.
If the form says no time-off policies exist, a manager can set them up under Timecards > Settings > Time-Off Policies (see Timecard Settings).
Step-by-Step: Monthly Capacity Review
- Open Time Off as a timecard manager.
- Use the arrows on Team Time Off to reach the month.
- Look for days with several approved or pending requests, and select a day to read them.
- Approve or deny from the request list below. The calendar only shows requests; it does not act on them.
- Coordinate with scheduling before dispatch (see Scheduling).
Troubleshooting
No requests shown?
- Set the status filter to All and the employee filter to All employees.
- Move the Team Time Off calendar to the month of the request.
Approval buttons missing?
- Approve and Deny are for timecard managers only. An admin chooses who that is in Timecards > Settings (see Timecard Settings).
- Only pending requests have buttons. Reviewed requests do not.
