Manage bank and credit-card accounts, import and categorize transactions, reconcile, and connect bank feeds

Banking

The Banking tab manages your bank and credit-card accounts and the transactions in them. Add accounts, bring transactions in (manually, by CSV import, or through an automatic bank feed), categorize them to your ledger, reconcile against statements, and deposit undeposited funds.

Open Accounting > Banking. The header shows a running total like "3 accounts - $12,345.00 cash" (the headline total is cash only; credit-card balances are excluded because they're liabilities). A New Bank Account button sits in the top-right, and an account selector below the tabs sets which account most tabs act on.

The page has eight tabs: Register, Bank Feeds, For Review, Reconcile, Rules, Import, Undeposited Funds, and Bank Accounts.

Bank Accounts

Each account shows as a card with its name, institution, balance, type, and last four digits, plus Default or Inactive badges where they apply.

Add an account:

  1. Click New Bank Account.
  2. Enter the Account Name (required), optionally the Institution, and choose an Account Type (Checking, Savings, Credit Card, Petty Cash, Money Market, or Other).
  3. Select the General Ledger Account it maps to (required).
  4. Optionally set Last 4, an Opening Balance, and whether it's the Default Account.
  5. Click Save Bank Account.

Register

The transaction register for the selected account. Columns are Date, Description, Category, Amount, Balance, Status, and Booked (linking to the journal entry, or an "Unbooked" badge). Deposits show green, withdrawals red, and transfer-linked rows carry a "Transfer" badge. Search transactions and page through 50 at a time.

Add a transaction manually:

  1. Select the account, then on the Register click Add Transaction.
  2. Set the Transaction Date and Transaction Type (Deposit, Withdrawal, Fee, Interest, or Adjustment), enter the Amount, and optionally a Payee, Description, and Reference Number.
  3. Click Save Transaction.

Import

Bring transactions in from a bank CSV file.

  1. Select the target bank account and open Import.
  2. Click Choose File and pick a .csv file, then click Import Transactions.
  3. Review the preview - it lists each transaction and how many are ready to import.
  4. Click Confirm Import. Duplicates are detected and skipped, and the count is reported.

Bank Feeds

Connect a bank through Plaid to import transactions automatically.

  1. Open Bank Feeds and use the connect button to link an institution.
  2. Linked accounts import on their own. Each connection card shows the institution, how many accounts are linked, the last sync, and a status.
  3. Click a card to see its detail - linked accounts and their GL mappings, plus a sync history.

For Review

New feed and imported transactions land here to be categorized before they post to the ledger. Each row offers three actions:

  • Categorize - pick the GL account, then click Confirm & Post JE to post the entry. (If a rule matches, a suggested account appears with a confidence percentage.)
  • Match - link the transaction to an existing journal entry from the candidate list.
  • Transfer - link it to its counterpart on another account (a matching, opposite-direction transaction) and click Record Transfer.
Transfers between accounts

There's no separate Transfers screen. To record a transfer, find the transaction in For Review, click Transfer, and link it to the matching entry on the other account. Both sides then show a "Transfer" badge in their registers.

Rules

Rules speed up review by suggesting a category for transactions whose description matches a pattern.

  1. Click New Rule.
  2. Set the Rule Name, the Contains Text to match, the Match Type (All or Any), the Post to Account, and an optional Payee.
  3. Click Save Rule.
Rules suggest, they don't auto-post

A matching rule pre-fills a suggestion in the For Review queue - it does not post anything on its own. You still confirm each transaction.

Reconcile

Reconcile the selected account against a bank statement.

  1. Open Reconcile, enter the Statement Date and Statement Ending Balance, and click Begin Reconciliation.
  2. The session shows Statement Balance, Cleared Balance, Difference, and Items to Clear.
  3. Click Clear / Unclear on items until the Difference reaches $0.00.
  4. Click Complete Reconciliation (enabled only when the difference is zero).
Match the statement exactly

The difference must be $0.00 before you can finish. If it won't zero out, check for a transaction that's on the statement but not yet in the register (import or add it) or one entered at the wrong amount.

Undeposited Funds

When customer payments are collected but not yet deposited, they sit in undeposited funds until you group them into a bank deposit.

  1. Open Undeposited Funds and make sure the correct bank account is selected at the top of the page.
  2. Select the payments to deposit and click Add Selected (into a new or existing open batch), or click Create Deposit Batch first.
  3. Set the Deposit Date and Deposit Memo.
  4. Click Finalize Batch to post the deposit to the register as a single transaction.
