Contacts
Contacts is your complete contact database for managing owners, builders, pump installers, vendors, and subcontractors.
Quick Start: Add and Use a Contact Record
- Open Contacts from the sidebar
- Search first to avoid creating a duplicate
- Click Add Contact if no match exists
- Fill in the contact details and save
- Link the contact to a project or work order
Types and Roles
Every contact has a Type - Customer, Vendor, or Subcontractor - chosen when you create it. Contacts can also carry one or more roles that power the list filters and project tracking:
- Owner - project owners and end customers
- Builder - general contractors and builders
- Pump Installer - pump and service partners
Roles are set on the contact's Edit screen. See Contact Types for details.

Step-by-Step: Handle a New Customer Inquiry
- Search Contacts by phone, email, or name
- Click Add Contact when no match is found
- Choose the contact Type and fill in phone, email, and address
- Save, then open the contact and click Edit to set Owner / Builder / Pump Installer roles
- Start a project or work order and select this contact
Step-by-Step: Consolidate Duplicate Contacts
- Search Contacts to find likely duplicates by matching phone or email
- Open the record you want to keep
- Click Merge and search for the duplicate
- Review the side-by-side preview and confirm
- Linked projects, invoices, and work orders transfer automatically
