Adding Contacts

Creating new contacts in the Rolodex ensures you maintain accurate customer information for all your business relationships. The contact form is designed to capture all necessary details while remaining quick and easy to complete.

Starting a New Contact

Click the New Contact button from the Rolodex page to open the contact creation form. The system automatically assigns a unique Rolodex ID to each new contact, ensuring proper tracking and preventing duplicates.

Required Fields

At minimum, you must provide at least one name field when creating a contact. You can enter a business name for companies, or first and last names for individual contacts. The system validates that at least one of these name fields contains information before allowing you to save the contact.

Contact Information Fields

The contact form includes fields for comprehensive contact details. Enter the primary phone number in the Phone field, or use the Cell field for mobile numbers. The Email field stores the primary email address, while the Billing Email field allows you to specify a different address for invoices and financial communications. The Fax field remains available for businesses that still use fax communication.

Address Entry

The address section captures complete location information. Enter the street address in the Address field, with an optional Address 2 field for apartment numbers, suite numbers, or additional location details. Complete the address with City, State, and Zip Code fields. Accurate address information ensures proper project location tracking and helps with route planning for field crews.

Contact Type Selection

Every contact must be assigned at least one type designation. Check the Owner box for property owners and primary customers, the Builder box for construction companies and general contractors, or the Pump Installer box for pump installation businesses. You can select multiple types if a contact fulfills more than one role in your operations.

Notes Field

The Notes field provides space to record any additional information about the contact. Use this field to document special instructions, preferred communication methods, historical context, or any other details that will help your team work effectively with this customer.

Multiple Contact Persons

For business contacts with multiple relevant people, use the Add Contact button to create additional contact entries. Each secondary contact can have their own name, phone numbers, email, and fax information. This feature is particularly useful for builders and pump installers where you might interact with different people for sales, project management, and billing.

Saving and Validation

When you click Save, the system validates that all required fields are completed. If validation fails, the form highlights the fields that need attention with a red border and displays a clear error message. Once validation passes, the contact is saved immediately and becomes available throughout DrillerDB for project assignment and billing purposes.

After Creation

Once saved, your new contact appears in the Rolodex list and can be linked to proposals, projects, and invoices. The contact detail page opens automatically after creation, allowing you to verify the information or make immediate edits if needed.
