Connects DrillerDB to your QuickBooks Desktop company file using the free Intuit Web Connector. Customers, items, invoices, and payments push from DrillerDB into QuickBooks on a schedule (default: every 5 minutes).
What you need before starting
- Windows 10 or Windows 11 PC that runs QuickBooks Desktop
- QuickBooks Desktop Pro, Premier, or Enterprise 2022 / 2023 / 2024 (US edition)
- Outbound internet access to qbwc.drillerdb.com over HTTPS (port 443)
- The two files we sent you: the
your-company.qwcconnector descriptor and a one-time password (separate message)
Step 1: Confirm internet reach
Open a browser on the PC that runs QuickBooks and visit https://qbwc.drillerdb.com/check. You should see a plain-text page that says OK, your public IP, and the server time. A blank page, a TLS warning, or a timeout means the PC cannot reach our service; see Troubleshooting below.
Step 2: Install the Intuit Web Connector (one time)
If you already use any other QuickBooks integration this is likely installed. Skip to Step 3.
- Download from Intuit: developer.intuit.com (QuickBooks Web Connector)
- Run
QBWebConnectorInstaller.exe. Accept the defaults. - The Web Connector adds itself to the Windows Start menu and runs in the system tray.
Step 3: Open QuickBooks Desktop
Open the company file you want to sync. Sign in as the QuickBooks Admin user (the Web Connector needs admin authorization the first time). Leave QuickBooks open while you do Step 4.
Step 4: Load the .qwc file
- Double-click
your-company.qwc. - The QuickBooks Web Connector opens and asks: "Authorize New Web Service?" Click OK.
- QuickBooks asks for permission to allow DrillerDB to read and modify this company file. Choose "Yes, whenever this QuickBooks company file is open", check "Allow this application to read and modify this company file" and "Allow this application to login automatically", then click Continue and Done.
Step 5: Enter your password
Back in the Web Connector window, find the new DrillerDB row. In the Password column, paste the one-time password we sent you and press Tab. The Web Connector saves it. You only do this once; the password is stored encrypted on this PC and is never asked for again.
Step 6: Run the first sync
- Check the box next to the DrillerDB row.
- Click Update Selected.
- The status column shows Connecting, then Sending, then Done within a minute or two.
If the status ends with Done and no red error rows appear, setup is complete. New invoices and customers from DrillerDB reach QuickBooks within 5 minutes of being created.
Step 7: Turn on auto-run (recommended)
In the Web Connector, check Auto-Run Every for the DrillerDB row and set the interval to 5 minutes. Leave the Web Connector running in the system tray; it is a tiny background process.
Troubleshooting

If a row stays red after retries, take a screenshot and email support@drillerdb.com. Include the Web Connector error column text and the date and time. We can see the matching server-side log within minutes.

Stopping or pausing sync
To pause: uncheck Auto-Run Every in the Web Connector. Manual syncs still work. To fully disconnect: in DrillerDB go to Settings, then Integrations, then QuickBooks Desktop, and click Disconnect. This invalidates the credentials on our side immediately. Your QuickBooks file is unchanged. Settings reference: QuickBooks integration.
